Position Summary

The Library Assistant III-Circulation supports the UIW Libraries by performing a range of duties related to the efficient operation of the SOM Library’s Circulation function and front desk operations. This position works collaboratively with Mabee Library and system-wide in implementing changes to the public functions of the integrated library system, in providing staff training and gathering and capturing usage data relevant to the position. This position is responsible for the daily operations of the SOM Library’s Circulation Desk and front desk functions as well as opening/closing the library. The Library Assistant III-Circulation reports to the Director of Library Services, School of Osteopathic Medicine.



Note this position will work at the School of Osteopathic Medicine ( SOM ) Library which is located at the UIW Brooks Campus at 7615 Kennedy Hill Drive, San Antonio 78235.

Circulation Supervision



Description of Job Duties

  • Provides leadership, management, and expertise for the SOM Library Access Services department, including circulation, course reserves, facility and stacks management.
  • Provides general supervision of staff providing service desk support.
  • Submits Recommends for Hire forms; supervises, trains and evaluates student employees for circulation tasks; schedules work shift for the circulation team.
  • Under direction of Library Director, resolves problems and responds to faculty, staff, and student requests related to access services; enforces SOM Library/UIW Libraries Policy and Procedures to the library users when needed.
  • Provides clerical/administrative support for Library Director.

Customer Service/ Circulation Desk



Description of Job Duties

  • Provides excellent customer service during patron and colleague encounters. Works closely with liaison librarians to manage the library’s main service points and all public service areas.
  • Staffs the Circulation Desk, answers information and directional questions, and refers reference questions to the appropriate librarian.
  • Participates in UIW Libraries Chat Services.
  • Under direction of Liaison Librarian, reviews and revises the SOM Library LibGuide content and other portal and promotional materials.

ILS Data Entry (Fulfillment/Circulation functions)



Description of Job Duties

  • Ensures efficient daily operations of the ILS for fulfillment functions to support the circulation of physical items, including processing new acquisitions/reserve items and troubleshooting ILS when issues arise.
  • Works with the System Librarian to report and resolve ILS issues.
  • Builds reports and pulls data from ILS when requested and as part of the continuous service improvement process.

  • Performs basic maintenance for public printers and assist patrons with computer and printer issues.
  • Reports and troubleshoots gate counters.
  • Conducts SOM Library Monthly Inventory Check.
  • Works with SOM IT in maintenance of SOM circulating devices, and in inventory audit.
  • Reports all issues beyond general maintenance to the appropriate SOM IT representative.

Description of Job Duties

  • Reports facilities issues to UIW Facilities personnel and follows up to confirm resolution.
  • Supervises the management of shelf space for physical collections.
  • Maintains open public spaces and group study spaces to ensure that the environment is clean and furnished appropriately, periodically checks technology in those spaces.

Qualifications

Knowledge Skills and Abilities

  • Effective verbal and written communication skills.
  • Working knowledge of ILS staff-side functions to support circulation tasks.
  • Comfortable with working with computer systems, learning software applications, and navigating Websites.
  • Proficiency in Microsoft Office applications, to include Excel.
  • Ability to perform detail-oriented tasks requiring a high degree of accuracy.
  • Strong skills in working with and manipulating data records.
  • Strong organizational skills and a strong commitment to customer service.
  • Ability to effectively problem-solve routine circulation challenges.
  • Ability to work with and safeguard confidential information.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.


Required Education

Bachelor’s Degree OR a combination of at least 90 credit hours with one (1) additional year of library circulation experience.



Required Work Experience

  • Minimum three (3) years working in libraries with direct responsibilities for circulation tasks.
  • At least two (2) years of supervisory experience in a library or related environment.


Preferred Qualifications

  • Bachelor’s Degree with ILS certification.
  • Demonstrated excellence in customer service.
  • Minimum of 4 years of experience in Access Services or Circulation.
  • Experience with ALMA or another integrated library system.

Work Hours

Typically Monday through Friday 8:00am to 5:00pm with flexibility based on semester needs. Occasional evening hours/weekends may be required to meet departmental needs and/or work shift among circulation staff.



Physical Demands

  • Ability to lift at least 20 lbs. and push and pull book trucks weight at least 100 lbs.
  • Ability to reach overhead, bend, squat, and climb stairs to retrieve library materials.
  • Ability to regularly move about library and campus, as well as actively engage with patrons.
